Who this policy covers
This Privacy Policy covers Xkey AiEstimation & Business Services Inc. (Xkey), the Xkey AiE public website and associated application services. Website information includes inquiries, appointments and visitor interactions. Application information includes account, estimating, project and chat information when you use those services. Application-specific descriptions do not mean that browsing the public website uploads your project information.
Information collected
The information involved depends on how you interact with Xkey. Website inquiries and appointments may include your name, contact information, organization and communications. Application services may involve account details and user roles; subscription and payment records; uploaded drawings, documents, estimates and project records; AiE prompts and outputs; and technical or usage information generated by your interactions. Payment details are subject to the payment arrangements presented when billing is connected. Provide only information needed for your request or workflow.
How information is provided
You may provide information when requesting an appointment, opening an account, using estimating or project features, uploading materials or contacting support. Authorized colleagues or your organization may provide information about you. Technical information may be generated when the site or service is used. Upload only information you are authorized to provide and avoid unnecessary personal or sensitive information. An organization controlling a project or work account may determine who can access its records; individual requests involving those records may need coordination with that organization.
Purposes and choices
Information is used in connection with the interaction or service you request, including responding to inquiries, arranging appointments, providing account and subscribed features, processing project materials, generating outputs, administering subscriptions and supporting customers. Applicable legal and security requirements may also affect processing. Where consent is required, the relevant purposes and choices must be explained. You may contact Xkey about your choices or withdrawing consent, subject to applicable restrictions and any consequences for the requested service. Agreement to subscription terms does not provide blanket consent to unrelated uses.
AiE processing and chat
When you use application features, AiE Image Matching, AiE Advanced Image Matching, Document Chat, AiE Chat and Actual-vs-Budget Intelligence may process the materials, prompts and project information needed for that workflow. Feature access depends on your plan. Advanced / Project Intelligence, Quotes, Invoices and Scheduling are Coming Soon. Customer/CRM functionality is later-stage and is not currently available. Avoid including unnecessary personal or sensitive information in uploads and chats. Contact Xkey with questions about processing of your materials.
Service providers and other disclosures
Third-party services may be involved in providing the features you request, such as appointment scheduling and, where applicable, payment or application services. The public website embeds Google Calendar appointment scheduling; interacting with that scheduler may send information to Google under its own privacy policy. Linked external websites also have their own privacy practices. Contact Xkey about service-provider access to information associated with your account or request. Disclosure required or permitted by applicable law remains subject to that law.
Cross-border processing
Third-party services may process information outside Canada, where it may be subject to local laws and lawful government access. Contact Xkey for information about processing locations and service providers associated with your use of the service.
Cookies, analytics and advertising
Embedded third-party services, including the Google Calendar appointment scheduler, may use cookies or similar technologies under their own policies. Browser settings can help control cookies, although restrictions may affect functionality. Any applicable analytics or advertising choices should be explained where those technologies are offered. Retention, deletion and account closure
Retention depends on the information, the purposes for which it is held and applicable legal requirements. Contact Xkey to request deletion or discuss account closure and available export options. Deletion may be subject to lawful retention requirements and backup handling. Keep independent copies of important project information; account closure does not guarantee immediate deletion of every record.
Security
No online system can guarantee complete security. Protect your account credentials, limit access to authorized users and avoid submitting unnecessary sensitive information. Contact customerservice@xkey.ca promptly if you suspect unauthorized access or have a security concern.
Your privacy rights
Subject to applicable Canadian privacy law and its exceptions, you may request access to your personal information, ask for correction, ask about its use or disclosure, and raise a concern about its handling. You may withdraw consent where applicable, subject to lawful restrictions; this may affect services that need the information. Deletion requests are subject to applicable law and justified retention needs. Identity verification may be needed to protect your information. You may also contact the applicable privacy regulator, including the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada, where relevant.
Children and minors
Xkey AiE is intended for business estimating and project workflows rather than services directed to children. Do not provide a child’s personal information unless necessary, authorized and consistent with applicable law. Contact Xkey if you believe a child’s information has been improperly collected.
Changes to this policy
Xkey may update this Privacy Policy. Material changes will be communicated through an appropriate notice, and consent obtained where required for a new purpose. Updating this policy does not itself authorize an incompatible use of information already collected.
